Key takeaways
- Start from your operating model (direct, B2B network or both) and eliminate software that cannot represent it.
- Check that the booking model separates packages, departures and bookings, prices per pilgrim and freezes prices at sale.
- Visa, hotel and document workflows should reflect the current Nusuk sequence: accommodation first, visa last.
- Ask vendors what is live today and what is on a roadmap. Buy on the first, not the second.
Most Umrah agencies do not choose software; they drift into it. A spreadsheet becomes three spreadsheets, a generic travel CRM gets bent to fit group departures, and a developer builds a booking form that nobody else can maintain. By the time the agency outgrows it, the season's data is spread across tools that do not agree with each other.
If you are evaluating Umrah and Hajj management software, this checklist will help you separate what matters from what demos well. It is deliberately vendor-neutral, including where UmrahCore itself has gaps.
1. Can it represent how you actually sell?
Before comparing features, write down your operating model:
- Do you sell only directly to pilgrims, only through agents, or both?
- Do you have resellers who manage their own sub-agents?
- Do partners need to sell under their own brand?
- How many currencies do you quote and settle in?
Software designed for a single agency often cannot represent a multi-level B2B network at all, and retrofitting it later is painful. If distribution through agents matters to you, read our guide to building a B2B Umrah agent network first.
2. Is the booking model right?
This is the most important technical question and the easiest to skip in a demo. Look for:
- Package, departure and booking as separate concepts, so reporting and reconciliation work at every level.
- Per-pilgrim pricing inside a booking, for children, single supplements and mixed occupancy.
- Snapshot pricing: component prices frozen at the time of sale and never silently recalculated.
- A permanent pilgrim identity that survives passport renewals and repeat trips.
Our article on Umrah group booking management explains why each of these matters in practice.
3. Does it follow the Nusuk sequence?
Under the current rules, a visa is issued only after hotel and transport are confirmed through Nusuk, and a standard Umrah visa must be used within 30 days of issue. Good software reflects that order: bookings anchored on hotel stays, visa as the closing step, and date logic that warns you when a visa would be issued too early. Ask the vendor to walk through a booking in that order and watch where the workarounds appear.
Also ask directly whether the product integrates with Nusuk today, or whether integration is planned. Both answers can be acceptable, but you need the true one.
4. Visa and document handling
- Passport capture from scans (OCR) with human confirmation, including bulk capture for groups.
- Explicit visa status tracking, not a free-text "status" column.
- Rules that prevent marking a visa as approved without the visa copy on file.
- Mahram relationships and vaccination status recorded and surfaced as warnings.
- Documents stored privately and served only to authorised users, never through public links.
5. Hotels, transport and meals
- Room-level occupancy tracking against hotel capacity, per night.
- Consistent city and hotel reference data, so the same place is never entered three ways.
- Structured transfer routes between airports and hotels, with vehicle sizing.
- Meal plans and dietary needs that flow through to group departures.
6. Finance that matches B2B reality
- Separate ledgers for pilgrim receivables, settlement between tiers, and supplier payables.
- Instalment schedules with due dates tied to operational milestones.
- Multi-currency with the original currency and rate kept on every historical booking.
- Sequential, gap-free document numbering for invoices and receipts.
7. Security and data isolation
An Umrah platform holds passports, visas, family relationships and payment records for thousands of people. Treat security as a core requirement:
| Ask about | A good answer sounds like |
|---|---|
| Tenant isolation | Enforced in the database and application layers, not only hidden in the UI. |
| Access control | Per-module, per-action permissions that cascade from parent to child accounts. |
| Authentication | Two-factor authentication that the company can enforce for all users. |
| Audit trail | Every change recorded with who, what, when and where, and not editable by anyone. |
| Document storage | Private storage with authenticated access; no public bucket URLs. |
8. Content, integrations and APIs
Ask what data the platform exposes and consumes. Can you get your data out? Is there API access at your plan level? Which flight, hotel, payment or messaging integrations are live, and which are add-ons or roadmap items? If you publish packages online, consider where your hotel and destination content will come from; an Umrah content API can save a lot of manual work.
9. Questions to ask in every demo
- Show me a group booking with a child, a single supplement and a mahram warning.
- Change a hotel rate. What happens to bookings that were already sold?
- Log in as a sub-agent. What can you see about another agent's pilgrim?
- Show me the audit trail for a price change.
- Which of the features you have shown me are live for customers today?
- How do I export all my data if I leave?
Where UmrahCore fits
UmrahCore is a multi-tenant B2B back-office for Umrah and Hajj operators, with 17 live modules covering the booking, visa, hotel, transport, meal, document and finance areas above, built around the Master → Reseller → Agent hierarchy. In the spirit of this checklist: live operations tracking, card payments, Nusuk and GDS integrations, live FX and block capacity management are on our published roadmap, not live yet. Pricing is public, from US$99 a month.
Frequently asked questions
What is Umrah management software?
It is software that Umrah agencies and tour operators use to manage packages, group departures, pilgrim records, visas, hotels, transport, documents and finance in one system, often including tools for sub-agents and resellers.
What is the most important feature in Umrah agency software?
The booking model. Separating packages, departures and bookings, pricing per pilgrim and freezing prices at the time of sale determines whether reporting, reconciliation and customer disputes are manageable.
Does UmrahCore integrate with Nusuk?
Not yet. Nusuk integration is on UmrahCore's published roadmap as a planned capability. Today UmrahCore works as the agency's system of record alongside Nusuk.
